This is an INTERNAL competition only.

The position of Commissionaires Enterprise Management System (CEMS) Data Entry Specialist, Division Office, will become available as of April 2, 2012.  This is a temporary full-time position until 2 August, 2012 that will operate for four months. There is a possibility of extension.

Job Purpose

The Data Entry Specialist is responsible for the input/update of data into the Commissionaires new enterprise resource planning system.  This position requires an innovative thinker who is passionate about providing outstanding administrative support that will advance employment opportunities for our Canadian veterans and other Canadians subscribing to the Corps of Commissionaires values.

Duties and Responsibilities

  • Perform an update of information currently entered in the Commissionaires Enterprise Management System (CEMS);
  • Assign contract identifiers to current and historical contracts and enter these contract identifiers and their related information into the CEMS database;
  • Ensure quick and reliable data entry;
  • Ensure that all information in the Human Resources Database is current and up-to-date;
  • Provide suggestions on ways to improve the CEMS database; and
  • Other duties as assigned by the Manager Administration.

Education Requirements

  • High School graduation diploma (minimum);
  • Certificate in Business Administration or Certificate in Office Administration (preferred); or
  • Or an acceptable level of education, training and experience.

Knowledge Requirements

  • English essential;
  • Strong organizational skills;
  • Strong time management, and priority setting skills;
  • Effective written and verbal presentation skills;
  • Financial management and time scheduling programs (assets).

Skills Requirements

  • Must have an extremely high attention to detail.
  • Strong computer skills most notably Microsoft Office Suite (Word, Excel, Access, PowerPoint, and Outlook) essential;
  • Enthusiastic and self-motivated;
  • Demonstrated ability to form and maintain long-term positive working relationships with diverse stakeholders;
  • Personable team player with a proven ability to operate independently in a wide variety of dynamic and challenging situations; and

Working Conditions

  • Work weeks are 5 days per week, Monday to Friday, from 8:00 a.m. to 4:00 p.m.
  • Normal office conditions

Job Purpose

The Receptionist is responsible for providing administrative support and backup within the Corporate Affairs Group.  This position requires an innovative thinker who is passionate about providing outstanding administrative support that will advance employment opportunities for our Canadian veterans and other Canadians subscribing to the Corps of Commissionaires values.

Duties and Responsibilities

  • While acting as the backup for the office receptionist, answer phone calls as necessary, assist in booking appointments (fingerprint, Pardon and US Waivers) and collect fees for services and issue appropriate receipts.
  • Process CPIC applications for those being considered for employment with the Corps prior to an interview;
  • Conduct weekly checks and follow up for missing enrollment documents for RCMP, and Federal Prison Guards, out of town new employees.
  • Log in daily mail and distribute to required personnel.
  • Ensure that all faxes are dealt with in a timely manner and forwarded to those responsible;
  • Provide data entry assistance; and
  • Other duties as assigned by the Manager Administration.

Organization Overview
The Canadian Corps of Commissionaires-Southern Alberta Division is a non-government, not-for-profit organization whose mandate is ensuring meaningful employment opportunities for Canadian Forces and Royal Canadian Mounted Police Veterans. 

General Accountability
Reporting to the Manager Human Resources, the staffing advisor is responsible for creating policies and undertaking activities to ensure the Division is selecting the best possible employees. This position requires an innovative thinker who is passionate about providing outstanding operational support that will advance employment opportunities for our Canadian veterans and other Canadians subscribing to the Corps of Commissionaires values. 

Key Job Responsibilities
The Staffing Advisor is a critical position to support the Division’s continuous hiring policy.  The responsibilities of the Staffing Advisor include:

  • Develop strategies to target and attract candidates using a variety of tools and techniques including personal networks, third party job boards, industry events, and educational institutions;
  • Assess and Monitor successful sourcing channels for future candidates and knowledge using social media outlets;
  • Work with managers to identify position vacancies, conduct job analyses and create corresponding job descriptions and advertisements for sourcing;
  • Develop and complete accurate and articulate job postings for legal compliance and ensure the requirements are linked to the functions of the position;
  • Screen resumes to select candidates for interviews;
  • Design interview questions that are unique to each opportunity;
  • Participate with business managers in interviews;
  • Provide post-interview communication to candidates;
  • Ensure timely and accurate tracking and recording of information in the recruiting database for positions and candidates;
  • Champion diversity and inclusiveness in the candidate selection process ensuring compliance areas are met;
  • Identify and establish effective key performance metrics to measure recruitment function results as a means to ensuring effective continuous improvement and program/service delivery;
  • Conduct exit interviews; and
  • Other duties as assigned by the Manger Human Resources.

Essential Skills

  • Working towards or recently completed a diploma or undergraduate degree in a relevant field from a recognized university or an acceptable level of education, training and experience;
  • Knowledge of the Province of Alberta labour legislation;
  • Strong organizational, time management and priority setting skills;
  • Effective written and verbal presentation skills: English essential;
  • Strong computer skills most notably Microsoft Office Suite (Word, Excel, Access, PowerPoint, and Outlook); and
  • Must possess or be able to obtain a Canadian government Level II security clearance and pass a criminal background check.

Assets

  • Extensive knowledge of Canadian Forces and RCMP organization and occupational specifications;
  • Able to speak other languages; and
  • Working towards a Certified Human Resources Professional qualification.
